Operating in integrity includes how we care for the information you trust us with. This policy explains how Kingdom Culture Agency handles personal information through kingdomcultureagency.com, agency inquiries, bookings, and related communications.

This policy covers our agency’s own activities. When we process information on behalf of a client or partner under their instructions, their privacy notice and our agreement with them also apply. Project agreements, creative permissions, and model releases address the use of project materials separately.

Information we receive

When you contact the Kingdom, request a strategy call, book a consultation or Free On Sunday appointment, subscribe to updates, use chat, or work with us, we may receive:

  • Your name, email address, phone number, and business or organization name.
  • Services of interest, estimated budget, project descriptions, and information you choose to include in messages.
  • Appointment details, availability, scheduling preferences, and booking communications.
  • Newsletter preferences, subscription information, and unsubscribe requests.
  • Project materials and communications supplied for an agreed service.
  • Billing information, transaction references, amounts, and payment status.

Please do not send passwords, payment-card details, government identification numbers, or other sensitive information through ordinary inquiry forms or chat. Contact us to arrange an appropriate transfer method if your project requires sensitive material.

Website information, cookies, and embedded services

The website and its providers may process IP addresses, browser and device information, pages requested, referral information, timestamps, and technical logs to deliver website features, protect systems, and troubleshoot problems.

Cookies and similar technologies may support login sessions, preferences, scheduling, chat, embedded content, and measurement of interactions with those services. Embedded appointment tools, maps, videos, and chat can receive device and connection information when they load, including before you submit information. Third-party services may use their own cookies and process information under their own privacy notices.

You can manage or delete cookies through your browser. Blocking cookies may affect website features and does not necessarily stop every form of information collection by embedded services. You may contact us by email or phone if you prefer not to submit information through an embedded form or chat tool.

How we use information

We use information to respond to inquiries; plan and deliver services; administer Free On Sunday and other appointments; send confirmations and service messages; process invoices; communicate with clients and partners; maintain business records; troubleshoot systems; prevent fraud and abuse; and meet applicable legal obligations.

When you choose to receive marketing emails, we use your contact information and preferences to send agency news, resources, events, and offers. Our website newsletter form asks for your agreement to receive marketing emails. You can unsubscribe using the link in a marketing email or contact us for help. An unsubscribe request does not prevent necessary communications about an inquiry, appointment, payment, or active service.

How information is shared

We share information relevant to the work with personnel, contractors, and service providers supporting hosting, website forms, email, scheduling, marketing communications, chat, payments, and service delivery. The information involved depends on the feature you use and the service we provide.

Our website and business systems include Bluehost and WordPress/WPForms for hosting and forms; Google Workspace and WP Mail SMTP for website email; Acuity/Squarespace Scheduling for appointments; Brevo and Creative Mail for email tools; tawk.to for chat; and PayPal for payments. A provider’s own privacy notice also governs information it processes for its own purposes.

Payment information entered in a payment provider’s checkout is handled by that provider. Agency records may include billing details, transaction references, amounts, and payment status. Please review the payment provider’s notice before making a payment.

We may disclose information where required by law or reasonably necessary to respond to lawful requests, protect rights, prevent fraud or abuse, or investigate security incidents. We may also share information at your direction or with your permission, such as when coordinating an agreed project with a partner.

Google connection: Kingdom Culture Website Mail

The Kingdom Culture Website Mail application connects WP Mail SMTP to an authorized agency Google account so the website can send messages through Google Workspace. Visitors do not need to authorize access to their own Google accounts to submit our contact form.

The current plugin requests Google’s full-mail permission for the connected agency account, which technically permits reading, composing, sending, and permanently deleting Gmail messages. The agency uses this connection for the website-email function described here. The permission applies to the agency account that authorizes it, not to a visitor’s mailbox.

The email workflow processes sender and recipient addresses, subjects, message content, and any attachments included in a website-generated message. The connection uses Google authorization tokens and account information to identify the authorized sender and maintain access for mail delivery. The website’s hosting environment and Google process information needed to send these messages. Copies of sent or received messages may remain in agency mailboxes; connection settings and operational records may also remain in website storage and backups.

We use information received through this Google connection to operate and support the website-email function. We do not sell that Google user data or use it for advertising, credit decisions, or training general-purpose AI models. Transfers and human access to Google user data are limited to the purposes permitted by Google’s policies, including providing the disclosed function with authorization, investigating security issues, and complying with law. Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

The authorized Google account holder can revoke the application’s access through their Google Account connections settings. Revoking access stops further use of that authorization but does not automatically delete existing messages, business records, or backup copies. Contact info@kingdomcultureagency.com to request review or deletion of information associated with this connection, subject to the retention considerations below.

Retention and security

Retention depends on the type of information and why it is needed. We consider whether an inquiry, appointment, or project remains active; whether records are needed for accounting, contractual, or legal obligations; whether information is needed to investigate security issues or resolve disputes; and whether communication preferences must be preserved. Backup copies may remain until they are replaced or removed through the relevant backup cycle. We may retain a record of an unsubscribe request to help avoid sending unwanted marketing messages.

You can ask us to review or delete your information. Some information may need to be retained for the purposes described above; where applicable, we will explain limitations when responding. This policy does not promise a single retention period for all agency systems or immediate deletion from every backup.

We take reasonable measures to protect personal information in the systems we use. No website, email system, or storage service can guarantee absolute security. Our providers may process information in the United States and other countries where they operate.

Your choices and privacy requests

Email info@kingdomcultureagency.com with the subject Privacy Request to ask about your information, request access, correction or deletion, or change communication preferences. Please describe your request without including unnecessary sensitive information. We may need to verify your identity before responding.

Depending on where you live and the law that applies, you may have additional rights concerning access, portability, deletion, restriction, objection, certain uses or disclosures, or appeal of a decision. We will handle requests in accordance with applicable requirements and explain relevant limitations. Contact us at the same address if you want us to reconsider a response.

Children and third-party websites

Our business-services website is intended for adults arranging agency services and is not directed to children under 13. If you believe a child has provided personal information through the website, contact us so we can review and address it. Separate youth-related productions or events require appropriate project-specific permissions and notices.

Links to social networks and other websites lead to services with their own privacy practices. Review their notices before sharing information with them.

Changes to this policy

We will revise this policy when our practices change and update the effective date. Where required, we will provide additional notice or seek consent before using information in a materially different way.
